Managing Accounts

Account numbers are optional. If account numbers are used, they must be unique across all accounts. Account names must be unique across all accounts that have no account numbers. The trial balance is sorted by account type then by account numbers. If account numbers are not used, then the accounts are listed in the same order as the import file. Use the procedures below to manage the accounts in your trial balance.

For consolidated engagements, accounts are managed at the subsidiary level.

ClosedAdd an account.

  • For a non-consolidated engagement, click on the navigation bar and select Trial Balance.
  • For a consolidated engagement, click View next to the subsidiary you want to work with. You can also click on the navigation bar and select Trial Balance. Then, clickin the gray navigation bar and select the entity you want to work with.
  1. Click Add Accounts/Groups in the toolbar.
  2. Select Account in the Type box.
  3. Enter an account number.
  4. Enter an account name.
  5. Click Add.
  6. Click at the top right of the pane to close it.

Note: Maximum number of accounts allowed is 5,000.

ClosedEdit the account number or account name for an account.

  1. Click the engagement on the Engagement List page.

  2. Do one of the following:
  • For a non-consolidated engagement, click on the navigation bar and select Trial Balance.
  • For a consolidated engagement, click View next to the subsidiary you want to work with. You can also click on the navigation bar and select Trial Balance. Then, clickin the gray navigation bar and select the entity you want to work with.
  1. Click Edit/Delete on the toolbar.
  1. Select Account in the Type box.
  1. Begin entering the account number or name. As you type, the account list opens and filters based on the characters you type. Select the correct account when you see it.

  1. Edit the account number and account name as needed.
  1. Click Save.
  1. Click at the top right of the pane to close it.

ClosedDelete an account.

  1. Click the engagement on the Engagement List page.

  2. Do one of the following:

    • For a non-consolidated engagement, click on the navigation bar and select Trial Balance.
    • For a consolidated engagement, click View next to the subsidiary you want to work with. You can also click on the navigation bar and select Trial Balance. Then, clickin the gray navigation bar and select the entity you want to work with.
  3. Click Edit/Delete on the toolbar.
  4. Select Account in the Type box.
  5. Begin entering the account number or name. As you type, the account list opens and filters based on the characters you type. Select the correct account when you see it.
  6. Click Delete.
    Note:To delete an account, all current and prior period balances must be zero and the account cannot be used in any current or prior period journal entries.
  7. Click Yes to confirm deletion.
  8. Click at the top right of the pane to close it.
